Administrative Assistant – Award Administration

Job Summary

The Academy is seeking a highly dedicated and dependable individual to support the Awards Administration department in in a variety of projects during the course of the year. 
Reports to:  Managing Director, Membership and Awards

Duties and Responsibilities

  • Provide primary administrative support to the Coordinator of Awards Administration.
  • Review, proofread and edit a variety of documents for accuracy, proper formatting and spelling to ensure consistent output.
  • Deal directly in person, by telephone and e-mail with filmmakers, Academy staff, governors and members.
  • Answer the department’s incoming telephone calls, handle general questions about entries and rules pertaining to the Sci-Tech Awards and Student Academy Awards program
  • Ensure that all paper files, electronic records and databases for the department are properly maintained and up to date.   
  • Ability to schedule, prepare materials for and take minutes at a variety of meetings.
  • Coordinate travel arrangements.
  • Assist in assembly and distribution of presentation materials including electronic media, photocopying, binding and printing.
  • Assist with special event coordination.
  • Supervise seasonal assistant and coordinate work assignments.
  • Other duties as assigned.

Qualifications and Requirements

  • Must have office, customer service, and administrative experience or equivalent in a comparable environment. 
  • Bachelor’s degree, preferred.
  • Outstanding communication a must, including fluency in English and highly professional verbal and written communication with special attention to detail and accuracy. 
  • Proficiency in Microsoft Office Suite applications (Outlook, Word, Excel, and Powerpoint). Experience with CRM and Filemaker Pro a plus.
  • Must be detail oriented, organized and able to work on multiple projects in fast-paced environment.
  • Some night and weekend work required and may be assigned on short notice.
  • Ability to work cooperatively with other Academy departments.
  • Ability to work professionally and gracefully with Academy members and the public.
  • Some night and weekend work required and may be assigned on short notice.
  • Use of personal automobile may be required; must have and maintain a valid driver’s license.
